Symbria has an outstanding opportunity for a customer-service-focused Staffing Coordinator to add to our growing Symbria Rehab Team in Ohio.  In this role, you will coordinate staffing requirements of assigned Rehab/Therapy communities by forming solid work relationships with Rehab/Therapy leaders and existing staff, in a fast-paced - sometimes stressful - environment, address short and long-term staffing goals, identify the full picture of staffing needs and successfully handle the requirements of multiple communities. This role involves staffing existing full-time, part-time, and PRN therapy employees across multiple northern Illinois communities to ensure adequate coverage based on need.

 

The Staffing Coordinator role is an Operational role, not a Human Resources role. It does not involve recruitment or hiring. The role's purpose is to ensure we have the right staff at the right work locations based on need, overseeing schedules and helping to control expenses, such as overtime and travel reimbursement. The ideal candidate will be energized by the daily challenges of juggling a variety of staffing demands, communicate well by phone and in email, and have excellent organization and planning skills.

Responsibilities

The Staffing Coordinator is responsible for the day to day coordination of Symbria Rehab’s staffing requirements of assigned communities by forming solid work relationships, handling a fast-paced and  sometimes stressful staffing environment, addressing short and long-term goals, identifying the full picture of staffing needs and successfully handling the requirements of multiple communities with the goal of ensuring that the company’s staffing requirements are always met.

  • Provide daily staffing coverage at communities in Illinois for rehabilitation staffing needs, which includes daily interactions with Program Managers, licensed therapists, SeniorFITness staff and students.
  • Assist with obtaining educational affiliations and field work/clinical placements.
  • Maintain Therapist Placement Database, Weekly Schedule Log, Paid Time Off schedule, sick/cancellation calls and coordinate coverage with community Program Managers.
  • Manage the schedule and placement of regional float therapists.
  • Consistent follow up with PRN staff regarding availability.
  • Participate in weekly staffing meeting with Regional Director, Illinois Area Director and recruiting team to coordinate/update needs for the Chicagoland area.
  • Lead morning staffing calls and handle ad hoc calls and emails related to staffing needs.
  • Support the new hire onboarding process within the region, acting as liaison between HR and rehab operations for all regional hires.
  • Communicate recruiting needs to assigned recruiter(s).
  • Liaison for contract companies: review schedules, invoices, and maintain files with current licensure documentation for contract therapists.
  • Problem solve with corporate rehab management staff for the most efficient and cost effective staffing results to reduce/eliminate overtime and use of travel or contract companies.
  • Submit eAction Notices (EAN) in the HRIS system as needed to reflect changes in personal data, rate and status changes under direct supervision of corporate rehab management staff.

Work Schedule:

  • Must be able to handle staffing requirements in a flexible schedule as operational needs dictate which may include occasional after business hours, holiday and weekend coverage during emergent needs of the therapy business.
  • 100% remote
  • 5 days/week, 30-40 hours.

Qualifications

  • High school diploma, general education degree (GED) or Associates Degree.
  • Exhibit strong organizational skills, energetic initiative, proficiency with anticipating employer’s staffing needs, solid follow-through with commitments, ability to multi-task and work independently, while keeping client satisfaction at the forefront of all activities.
  • Excellent interpersonal, written and verbal communication skills, with ability to foster and maintain effective working relationships with all staffing contacts.
  • Proficient use of computers and Microsoft Office: Word, Excel, and Outlook, and demonstrated ability to learn and  use other technology tools such as HRIS systems, web-based texting platforms, or similar tools.

Qualifications preferred

  • Staffing or recruiting experience in a client-oriented, healthcare role; minimum one year.
